Every event ships with five reminder email templates. They send automatically to everyone registered for a session - three before it starts, two after it ends. Each one can be edited, toggled off, or left as the default.
Open the Reminders tab
From the event page, click Settings and choose Reminders. The header reads Reminder emails. The left sidebar lists the five templates; a green dot next to a template means it's currently enabled.
The five templates

| 24 hours before | Day-before nudge so registrants block out time. |
| 1 hour before | Last-hour reminder to grab a coffee and settle in. |
| 10 minutes before | Join link sent right before the session starts. |
| After session - attended | Follow-up for people who showed up live. Sends 30 minutes after the session ends. |
| After session - no-show | Recap for registrants who missed the session, with a link to the recording. Also sends 30 minutes after the session ends. |
Edit a template
Click any template in the sidebar to open the editor on the right. Four fields:
- Subject - the email's subject line.
- Headline - the bold heading at the top of the message body.
- Button label - the text on the CTA button.
- Body - the main message text.
The pane to the right shows a live preview rendered with sample data ("Sarah Chen"), so you can see exactly what each registrant will receive. The preview updates a moment after you stop typing.
Merge tags
Use these inside any field to inject per-registrant data:
{{first_name}}- recipient first name.{{name}}- recipient full name.{{event_title}}- the event's title.{{session_when}}- the session's date and time.{{watch_url}}- the watch link (the live room before the session, the recording after).{{recording_url}}- the recording URL specifically. Empty for sessions that haven't been recorded.
The Variables block under the body shows every available tag, so you don't need to memorize them.
Turn a template off
Each template has an On / Off switch at the top of the editor. Off stops sending that reminder entirely; the subject, body, and other settings are preserved for whenever you turn it back on.
Save
Click Save changes at the bottom of the page. Future sessions under the event use the updated templates immediately.
Branding
Logo, colors, and sender details come from your organization branding (set under organization-level settings, not per event). Templates inherit those automatically.
